Welcome

 

Developed in conjunction with our customers, WF can now offer you a new service that will link you directly into our advanced ordering systems via the Internet.

 

Although using the very latest technology, this system has been designed with ease-of-use in mind which makes us confident that you will be able to carry out the following, all from the convenience of your PC :

 

 

·                    Check current stock availability across the WF network

 

·                    Review the progress and status of your current orders

 

·                    Raise Quotations

 

·                    View information about your account

 

·                    Build up and place orders directly with WF branches

 

·                    Review your current quotes

 

·                    Convert your quotations into sales

 

·                    Contact a designated WF representative via E-mail

 

 

You will soon find that this facility stands out from the crowd, not least because the information that you see on your PC is up-to-the second and not merely a snapshot from the previous day (as you will find on many other Internet systems). 

 

But it doesn’t end here, because we are committed to improving the service and adding more options in order to make your time online with WF even more useful to you.

Getting Started

 

In order to use this facility, you will need the following:

 

·                    An Internet-ready PC

(using Microsoft Internet Explorer or Netscape Navigator versions 4.0 or later)

 

·                    A WF Account

 

·                    A Login and Password 

(this can be obtained by contacting your local WF branch).

 

Once equipped with the above, you are ready to go online with WF. 

 

This guide will now take you through the very simple steps required to get the most from the system.

 

 


Logging on

 

Start up your Internet browser in the usual way and type the following line into the “Address” field at the top of your screen:  www.wfelectricalplc.com  

 

This will bring up the following screen:

 

 

 

Enter your User login and Password into the appropriate fields,

place your mouse over the  button and then click on your left mouse button.


Account selection

 

Successfully logging on will bring up the screen below:

 

 

The first field displays your WF Account number (which you will be able to change if you have been set up with more than one account) and the second field will show your allocated WF branch (you can select another branch to trade with if required).

 

Once you have the right account and branch, click on the  button to proceed.


Main menu

 

This next screen displays your account details on the top right of the screen and the branch with whom you are currently trading.

 

From here you can now select the option that you want by clicking on the buttons situated down the left-hand-side of the screen.

 

 

 

 

The next few sections detail the various options that can be selected from these buttons.

 


Buy/Enquire

 

This part of the system allows you to enquire upon product prices and stock availability and/or place an order with WF.

 

To place an order, you will need to go through the following steps :

 

1.                  Search for and Select a product

2.                  Set the quantity and add the item to the order basket

3.                  Go back to step 1. and select more products if required

4.                  Review the order basket (changing the status of the lines if required)

5.                  Fill in the order header details (delivery address etc.)

6.                  Send order to WF

 

The next few sections will now take you through these steps in detail.

 


 

Searching for products

 

 

The capability exists to search for products in up to four different ways.  All the searches work in a similar way, whereby you put the search details in the text window and click on the search-type (below this window) and the click on the  button.

 

(NB. we can switch on or off the various search types for any login to suit you).

 

The different search types are as follows:

 

Search words

You can enter up to eight words describing the product in the text window.

 

If there is more than one item that matches, then a list of matches will be displayed.  If the product you are looking for is in this list then you can bring up the product details by clicking on that entry in the list.

 

(NB. If there is only one match for the words you enter, then the system will automatically take you to the product detail screen).


 

To help you locating products using product description searching, please bear in mind the following:

 

·      The more words you use - the narrower the search.

·      If you can’t find what you are looking for, try using fewer words.

·      Try to use key words that accurately describe the product you are looking for.

·      If known, use the Manufacturer’s part numbers on their own.

·      Try to use singular words i.e.  “FAN” not “FANS”

 

WF catalogue no

If you know the WF Catalogue code for the product, then you can simply enter this number in the text window and click on .

 

Tip - You do not have to enter the letter and the “-“ when entering a catalogue code, you can simply enter the numbers.

 

EDP code

If you know the Luckins EDP code for the product, then you can simply enter this number in the text window and then click on .

 

Tip - You do not have to enter the space between the two sets of numbers

 

EAN code

If you know the EAN code for the product, then you can simply enter this number in the text window and then click on .

 

If your entry does not correspond to a valid product, then you will get a message saying “No matches found”.  In this case, select the “Back” button from the top of the screen and re-enter.

 

Once you have successfully chosen a single item the system will bring up the product details.


 

Adding products to the basket

 

This screen will display the selected product in detail, giving you price and stock availability information.  Just below this is a Stock breakdown link.  Clicking on this will bring up a screen showing you where within the WF network the stock can be found.

 

The quantity (and corresponding prices) defaults to 1.  This can be changed by entering a different quantity in the “Change Quantity to” field and clicking on .

 

A message will appear telling you when the quantity of goods will be available at your branch and the unit and line price information will update accordingly.

 

You can now either change the quantity again or add the line to your basket either as an “Enquiry” line or “Order” line.  You do this selecting the line type. (nb. this line type can be changed later on – your selection here is not necessarily final) and then clicking on the

  button which adds the product to your order basket.


 

Reviewing the order basket

Once you have added an item to your basket you will be returned to the product search screen, but now you will have the option to select the View order basket / Send order link. 

 

By selecting this link you will be presented with a basket review screen showing you all the items you have added to your basket so far.

 

 

 

 

If you wish to change the status of any line to either “Delete”, “Enquiry” or “Purchase”, you can do this by changing the entry in the “Change status to” section and clicking on the  button.  Only lines with a status of “Purchase” will go on to make up the order you eventually place (NB. These lines will be highlighted).

 

(Some earlier versions of explorer may prompt you with an “Object moved” error when changing the line status.  This is a bug which can be fixed by upgrading your browser or downloading a patch from the Internet).

 

If you want to go on and add some more lines, you can click on the Add another item link.  This will take you to the search screen.

 

Once you are happy with your product selection, click on Send Order.  This will take you to the screen where you can add your order header details.

 

Order header details

 

 

 

This screen will default information such as your name (taken from your login) and phone number and address (taken from the information we hold on the account selected).  You can overtype this information if you have a specific delivery address other than the default.

 

If you have any specific information about the order you wish to express to the branch that you will be placing the order with, then you can use the three “Message” lines at the bottom of the screen for this purpose.

 

If you have a specific order number format, then we can hold this against your customer record and so force the system to only accept order numbers of this structure.  Please talk to your branch if you require this facility.

 

When you are happy with all the entered details, then you can transmit to order to the WF branch by clicking on the “Send Order to WF”  button and confirming that you wish to send the order.

 

Once you have placed your order, it will appear as “Pending” on the “Review Current Orders” screen (see next section).  The Pending status will change to Order within 30 minutes (as this is how frequently the program runs that converts your request into an order).

 


 

Raise Quote

 

This part of the system allows you to enquire upon product prices; stock levels and to raise a quote with WF.

 

For details on how to use this part of the system, please read the Buy/Enquire section of this document as the functionality is exactly the same except that:

 

·                    it does not give you leadtime information

·                    it results in quotes being created at WF instead of orders

·                    order terminology is replaced with quotes terminology

 

In summary you build up a basket of items as for an order and send it to WF whereupon a quotation is raised on the WF system within 30 minutes.


 

Review Current Orders

 

This screen shows all the orders that you currently have outstanding with WF system (both those placed via the internet and those entered manually by WF) along with those recently completed.

 

 

 

The most recent orders appear at the top and the older at the bottom.  For each order you will be shown the value of lines for the order outstanding (in red) and the value of lines processed.

 

From here you can also see more detail about the order by clicking on the Order

option.  This screen will show you at what stage the order is at and details on the status of the outstanding order lines.

 

 


 

Review Current Quotes

 

The Review Current Quotes screen is the same as the Review Current Orders screen, except that instead of showing the status of your outstanding orders, it lists all quotes currently have placed with the branch on the WF system (both those placed via the internet and those entered manually by WF).

 


 

Converting a quote into a sale

If you wish to convert one of these quotes into a sale, click on the appropriate Quote link to bring up the line detail (below) and then click on the “Convert quote into an order” link

 

 

This will then take you to the Review order basket screen from where you can add or delete lines and then send the order to WF.


 

Your Account

 

This screen will give you summary financial information for your account (see below).

 


Contact us

 

If you need to contact WF with some information of specific requirements then the facility exists via the Contact us button.

 

Selecting this button will bring up the following screen:

 

 

From here, simply type your message in the message field and the click on the

button.  An email will then be sent to your designated WF contact.

Help

 

If you have difficulty logging on to WF-Online, you should try the following remedies.

 

·      Check your Modem is operating correctly and you are connected to your Service Provider.

 

·      Check you have typed the web address correctly    www.wfelectricalplc.com

 

·      Check that you can log onto other web sites.

 

·      If you can’t log on to other sites - check your system or call your Service Provider.

 

·      We regret that we are unable to give any support regarding Software or Hardware that you may be running on your computer.

 

·      If you have problems with your Software or Hardware, you MUST contact your Service Provider or supplier of those products.

 

·      We are only able to give support for the use of the screens we provide for you to order or enquire from us.
